How to use MS Excel as a tool for interpreting data

MS Excel is a powerful tool for interpreting data. It is a spreadsheet application. You can use this for sorting data, creating charts and performing complex calculations.

Create a filter for your data:

  1. First step is to open the spreadsheet which you want to interpret the data.
  2. Highlight the data which you want to filter, including headings.
  3. Click the data menu and select the “Auto Filter” or “advance Filter”.You can filter each heading by each unique piece of data in its column by using “Auto Filter”. And You can use “Advance Filter” for choosing a filter range and criteria as well as copy to a new sheet to keep your original data as is.

Interpret with Formulas:

  1. First step is to open the spreadsheet which you want to interpret the data.
  2. Click in a cell where you want to build a formula.
  3. You can use all formulas by clicking on insert function icon.or you can type = sign in cell and type the formula name.For example you want to sum various data. Please follow the following steps:
  • Type = sign and write sum and insert small bracket after sum ( and then select the cells which data you want to add.after selecting these cells close the bracket by inserting ).Then press Enter.The same procedure can be used for different type of formula.The complete list of formulas is in insert functions.

Interpret with Charts:

  1. First step is to open the spreadsheet which you want to interpret the data.
  2. Click on a column which you want to interpret the data. Selet the entire column.
  3. Click the insrt menu and choose Chart from the list.Alternatively, you can press the chart icon on the Excel toolbar.A pop-up window will shown to you on the screen.Click on the type of chart which you want to create.Click the “next” button two times.
  4. enter the name of chart and its axes if you want.These are optional.Click the “next” icon.
  5. Select the location of chart. You can place this chart inside the current  sheet or in a separate sheet. Press “Finish” button when complete. You will find the desired type of chart inside the Excel window. You can use this as a visual interpretation of the data in your spreadsheet.

There are many other ways for interpreting data using Excel. The data interpretation is important work which is used in all types of businesses, office works. The Excel is a very powerful tool which can be used for various types of data interpretation.
